How Point Redemption Requests Work
When your portfolio has Require Point Redemption Approval enabled, earned points are not automatically available for redemption. Organization admins must submit a redemption request, which a portfolio admin then approves or denies. Once approved, the requested points are added to the organization's redeemable balance.
For Organization Users
1. Navigate to the Rewards page
From your organization, go to Cards → Rewards. If your portfolio requires approval, you will see a Request Redemption button along with your current Available Points and Redeemable Points balances.
Note: The "Request Redemption" button is only visible when your portfolio has the approval requirement enabled. If you do not see it, redemption requests are not required for your portfolio.
2. Submit a redemption request
Click Request Redemption. A form will appear with two fields:
- Points to Request — the number of points you want to make redeemable. This cannot exceed your current available balance.
- Purpose — a brief description of why you are requesting these points for redemption (e.g., "Staff rewards event").
Click Submit Request to send your request for review.
3. Request submitted — awaiting approval
After submitting, a confirmation message will appear:
"Your point redemption request has been submitted and is pending approval."
Your request will appear in the Recent Redemption Requests table on the Rewards page with a Pending status badge. You will receive an email notification once a portfolio admin reviews your request.
5. Email notifications
You will receive an email when your request is:
- Approved — your points have been added to your redeemable balance.
- Denied — the email will include the reason provided by the portfolio admin.
For Portfolio Admins
1. Open the Point Redemption Requests list
From the portfolio admin panel, click Point Redemption Requests in the left navigation. The table displays all requests across your portfolio's organizations, with the following columns:

2. Review a request
Click any row in the table to open the request detail panel. The panel shows a full summary of the request:
- Organization
- Requested By
- Points Requested
- Purpose
- Status
- Submitted At
- Reviewed At (if already reviewed)
- Rejection Reason (if denied)
Pending requests will display Approve and Deny buttons.
3. Approve a request
Click Approve. The request status changes to Approved and the requested points are immediately added to the organization's redeemable balance. The requester receives an approval email.
4. Deny a request
Click Deny. A dialog will appear asking for a reason for denial.
Enter a reason and click Confirm Denial. The request status changes to Rejected and the requester receives an email with your reason.
5. Email notifications
Portfolio admins receive an email when:
- A new redemption request is submitted by an organization user.
- A requester cancels (removes) their own pending request.
Each email includes the organization name, the requester's name, the number of points, the purpose, and a direct link to review the request in the admin panel.
Request statuses at a glance
